Employment, income, and affordability information
Previous landlord and character references

We collect information directly from you, from your representatives (such as a solicitor or guarantor), from referencing and credit-check providers we instruct, from sanctions and PEP screening services, from open sources (such as Companies House and the Land Registry), and from property portals where you have made an enquiry.

Property portals including Rightmove, Zoopla, and OnTheMarket where we list a property
HMRC for tax compliance, including under the Non-Resident Landlord Scheme
Local authorities in connection with selective licensing, council tax, and other statutory reporting
The National Crime Agency where we are required to submit a Suspicious Activity Report
The Office of Financial Sanctions Implementation (OFSI) where we are required to report a sanctions concern
Banks and financial institutions holding our Client Money Account
Our professional advisers, including lawyers, accountants, and insurers
Debt recovery agencies and the courts where rent arrears or possession proceedings arise
Our redress scheme, the Property Redress Scheme, where a complaint is referred for independent review
Our trade bodies, including UKALA and the NRLA where required
Successors in title if our business is sold or restructured
We do not sell personal information.
6. International transfers
Most personal information stays within the UK. Where any service provider transfers information outside the UK, we ensure appropriate safeguards are in place, including the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or transfers to countries the UK has deemed adequate.
7. How long we keep your information
We retain information only for as long as necessary for the purposes described in this policy, and in line with our legal and regulatory obligations:
Tenancy records: for the duration of the tenancy plus six years after it ends
Right to Rent check records: for the duration of the tenancy plus one year, in line with the Home Office Code of Practice
AML and sanctions records: for the current tax year plus five years following the most recent transaction
Accounting and client-money records: for the current year plus at least six years (Companies Act 2006)
Marketing data: until you withdraw consent or we determine it is no longer required
Website enquiry data: for up to 24 months after the enquiry, unless a relationship begins
After these periods, we securely delete or anonymise personal information.
